Security

The exhibit hall will be located within a meeting room that will remain open to attendees throughout the program. Exhibitor materials left in this space will not be secured. Neither The Peabody Hotel nor The Coalition assumes responsibility for the loss of or damage to exhibitor materials of any kind.

If secure storage is required, exhibitor materials may be stored in a locked room alongside conference staff materials.

 

​ Shipping & Receiving

• Special arrangements must be made for receiving any equipment, goods, displays or other materials, which will be sent, delivered or brought into the Hotel. Failure make arrangements may result in deliveries being refused or materials being unavailable when required. The Hotel’s receiving entrance is open from 9:00 a.m. to 5:00 p.m. Monday through Friday. For weekend deliveries, advance arrangements must be made through the Events Department.

 

• Current package handling/delivering fees are $6.00 per box and $200.00 per pallet.

 

• Handling fees will be the responsibility of the Exhibitor. A form will need to be signed when accepting packages onsite, this information will be used to charge the individual’s room.

​ENCORE is the exclusive provider of temporary dedicated show power at The Peabody. This 
includes all forms of temporary dedicated power including generators. Different disconnects 
and amperages are available across the property so talk to your ENCORE Sales Manager for 
options and pricing.
Third-party AV companies are permitted to bring their own feeder and distros, but for safety and 
liability only qualified ENCORE personnel may connect CAM to the service panel and operate the 
main panel disconnect. The ENCORE team member will also verify voltages on each leg using an 
industry standard meter before leaving the room.
Edison wall power is available in the meeting rooms and may be utilized by third parties free of 
charge with the understanding that it is shared power and no guarantees are made with regard 
to total amps available.

 

​LOAD-IN/OUT, DOCK and ELEVATOR DETAILS
This facility is equipped with a double bay dock off B.B. King Blvd. (formerly Third Street). The left 
bay can support a 53’ trailer and the right bay can support a 28’ box truck. The dock is first-come / 
first-served and is managed by the hotel’s receiving department. No formal reservations are 
required but you must let your hotel Conference Manager know your arrival time in advance. Hotel 
food deliveries generally take precedence.

There is no parking on the dock – it is for active loading and unloading only. The bay is standard 
dock height (13’10”). The dock area and entrance to the hotel are not large enough for a 
forklift, but pallet movers are allowed. Oversized pallets (96” and above) might need to be 
broken down in the truck or dock area which can slow things down considerably.
The dock does NOT lead directly to the main ballroom. Service elevators are located about 40 
yards from the dock. NOTE: Cases, boxes, packaging, and truss should be no longer than 6’ to 
fit in the service elevators.

Storage
Storage space for outside vendors will be the sole responsibility of the vendor. The Hotel has no 
obligation to provide storage space. Should you anticipate needing any storage, please contact 
your Conference Manager for availability and arrangements. If space is available, the client or 
vendor will be billed for such space. At no time will any company be allowed to store freight, 
crates or equipment in any public or service areas, including back hallways, the loading dock or 
Tennessee Exhibit Hall without prior approval from the Conference Manager handling your 
event.
